Minutes of Board Meeting:

b. Pre-season Clinic:  44 total players, 12 Freshman
c. Tryouts:  Begin September 29, end October 6.
d. Team selections announced October 6.
e. Registration for tryouts will begin August 25 – September 26.
i. Tryout fee is $25/player.
ii. Late registration fee is $50/player: September 19 – 26.
iii. Website will be used for registration.  All documents will be available on the website.
f. Parent/Coaches meeting will be held on October 7.  Details to be provided later.
g. All paperwork for registration must be 100% complete by September 26.  No partial paperwork will be accepted.
h. Uniforms:  players will be required to buy their own uniforms.  We have last years uniforms and they will be offered at a discount to new ones.  Details to be available after tryouts.
i. Tournaments:  Did not get into the Orlando tournament.  We will be evaluating the following tournaments:  Austin/UT;  Burning Flower; Woodlands Play Date; Aggieland; others TBD. No out of state tournaments at this time.
j. Regular season begins in February.
k. Assistant coaches:  Beth has one that will be available for the regular season.  She will continue to look for more.
i. May ask former players out of college to help out.
l. List of responsibilities to be handed over to the Board.  See attached list.  Will need Board members and parent volunteers.
2. Freshman Board Nominees:
a. Sent email to Freshman parents and received two responses.  Tim and Chris to reach out to more parents.
3. Dues:  will be set by the board n/l/t October 7.
4. By-Laws:  Jay Manning and Chris Alexander are making final edits and will present to the board for approval by Sept 1.
5. Club Policy:  Jay and Chris will finalize revisions by Sept 1.
6. Budget:  Booster Club budget request is due by late September.  Board will approve budget request and propose 2015 annual budget by September 15.
7. General Discussion:
a. Meet the Mustangs:  August 23.  Tanna Myers will be coordinating.  Need senior players to help out.  5 to 6 pm at the gym.
b. Board Members:  Will change by-laws to allow for At-Large members if we cannot fulfill the grade slots available.
c. Website:  Change board members.
a. Lax Club Administrator:
b. Club to hire a paid administrator to organize paperwork and manage the website.
8. Lax Club administrator:
a. Hire immediately.
b. Nominations for this position may begin immediately.
c. Ask parents.
d. Will be a paid position.

Communication with Parents:

  • Add Parents Meeting in September and January before the regular season begins
  • Publish Minutes of Board Meetings on website monthly
  • Publish Board Meeting Schedule and Agenda on website
    • Allow for comments or questions to be raised by parents on website
    • For questions about the Club, parents should talk to the Board Member representing the class of their daughter
    • For questions about the Team, they need to understand the Club Policy Manual and talk to the coaches
    • Parameters will be documented so parents and players know expectations and rules.
    • Club Policy will be updated by Coach Beth and Walter O’Donnell before September 2014

Coaches:

  • Coach Beth is looking to hire new coaches but will only hire those who are qualified and mature. She is working to find strong candidates.

Directors and Officers Liability Insurance:

  • Club needs to pay fee and provide yearly
    • Julie Krempa to check if Booster Club covers this.

 

Lax Club Administrator:

  • Hire Lynn Carameros to handle accounting, checks, financial statements and paperwork for the CPA.
  • Jay and Maureen Manning and Samantha Lanclos will meet with Lynn to coordinate transfer.
  • Hire CPA from Blazek & Vetterling to handle taxes

Club By-Laws:  Chris Alexander is editing and will send out for verbal approval from all Board members.

Items discussed but not voted on. These may or may not be part of the By-Laws:

  • Board Members:
    • Parents will vote on new officers each year and those elected will vote for Board positions.
    • Ask the current board member if they want to continue
    • Positions are open to new nominees
    • Parents will vote via website
    • No term limits, Board re-elects each year
    • President will hold Advisory role for the next President
    • President position can only be held by a Freshman, Sophmore or Junior Parent and may need to be a 18 month position.
    • Elections will be held in December and term is December to December.
    • 9th grade representative election starts in August
    • New Board is chosen within 2 weeks of team selection

 

  • How do we handle re-election of members or movement of officers?
  • Track record of each vote (Quorum, Super Majority , Simple Majority)
  • Voting members present for vote will be noted and recorded
  • Can not vote by proxy, member must be present or vote is called into the President
  • Vote will be published on website
  • Amendments will be submitted by Club Officers to the Board for approval
  • Assistant Coaches are under the guidance of the Head Coach

Policy Manual:

  • Explained in Parents Meetings in September and January of every year
  • Published on the website

  • The Club is formed to provide a competitive team on the field for each level

  • The Senior Class Board Members (Ricky and Stacy Duke, Kelly and Randy O’Donnell) will be replaced in September with two new couples to represent the incoming Freshmen.  Nominations will be accepted beginning August 1, 2014.

o Seniors are not guaranteed a place on Varsity 
• Division I: It is anticipated that Klein does not want to move up from 
Division II, so we are expected to remain in Division I next season. 
• The registration for the Florida Tournament has been moved to April 22: 
o Date is November 21 – 23 
o Travel day is November 20 
o School has given approval for an excused absences 
• The Senior Class Board Members (Ricky and Stacy Duke, Kelly and Randy 
O’Donnell) will be replaced in September with two new couples to 
represent the incoming Freshmen. Nominations will be accepted beginning

• Bus Trips for next season will include drinks and snacks for every trip
o Snacks to be approved by Team Mom’s 
o Team Mom’s are responsible for the coordination of the snacks 
 
• Senior Recognition Night will be hosted by the Junior parents every year 
o Before the last game of the season on the field with parents 
o Introduction of the players and announcement of the college they 
will be attending
